AI Usage Policy
Effective Date: May 2026 | HyperMartX PTY (LTD), trading as ASI Technologies
1. Purpose
This policy establishes the principles, standards, and boundaries governing how HyperMartX PTY (LTD), trading as ASI Technologies, develops, deploys, and uses Artificial Intelligence ("AI") technologies in our services, products, and internal operations.
As an engineering-grade IT company that builds AI-powered solutions for clients, we recognise our responsibility to use AI ethically, transparently, and in full compliance with South African law — including the Protection of Personal Information Act (POPIA) and the Cybercrimes Act.
2. Core Principles
Transparency
We disclose when AI is used in our services. Clients are informed when automated decision-making or AI-generated content forms part of a deliverable.
Human Oversight
All AI outputs that affect client deliverables, business decisions, or personal data are reviewed by a qualified human engineer before deployment or delivery.
Data Privacy
Client data is never used to train third-party AI models without explicit, written consent. Our AI tooling operates within the boundaries of our Privacy Policy and POPIA obligations.
Fairness & Non-Discrimination
We actively work to identify and mitigate bias in AI systems we build or deploy. We do not deploy AI that discriminates on the basis of race, gender, religion, or any protected characteristic.
Security
AI systems are subject to the same security controls as all other ASI Technologies infrastructure — including access controls, encryption, audit logging, and regular vulnerability assessments.
Accountability
ASI Technologies takes full responsibility for the AI systems we build and deploy. If an AI-powered system produces an error, the accountability rests with our engineering team — not the algorithm.
3. How We Use AI
3.1 In Client Services
- Code Generation & Assistance: AI tools are used to accelerate development. All AI-generated code is reviewed, tested, and validated by our engineers before delivery.
- Cybersecurity Analysis: AI-powered pattern recognition is used for threat detection, log analysis, and vulnerability assessment.
- Document Automation: AI assists in generating proposals, reports, and compliance documentation. All documents are reviewed by a human before client delivery.
- Customer Engagement: AI-powered chatbots and assistants may be deployed for client-facing support. These systems are clearly identified as AI and can escalate to human support.
3.2 In Internal Operations
- Project management and workflow optimisation.
- Internal knowledge management and documentation.
- Market research and competitive analysis.
3.3 In Products We Build for Clients
When we build AI-powered solutions for clients (e.g., AI Business Workspaces, chatbots, document automation), we provide:
- Full documentation of the AI components used.
- Data processing agreements aligned with POPIA.
- Clear guidance on the limitations and appropriate use of the AI system.
- Ongoing monitoring and maintenance options.
4. Data Handling & AI
- Client data processed by AI tools remains subject to our Privacy Policy and all POPIA protections.
- We do not upload client data to public AI models (e.g., public ChatGPT, public Gemini) unless explicitly authorised by the client in writing.
- Where AI processing requires cloud-based APIs, we use enterprise-tier services with data processing agreements that prohibit the use of client data for model training.
- All AI-processed data is subject to the same retention and deletion policies as other personal information.
5. Prohibited Uses
ASI Technologies will not use or deploy AI for:
- Mass surveillance or behavioural tracking without consent.
- Autonomous decision-making that affects individuals' legal rights without human oversight.
- Generating deceptive content (deepfakes, impersonation, misinformation).
- Circumventing security controls or exploiting vulnerabilities.
- Any purpose that violates South African law or international human rights standards.
6. Client Rights
As a client of ASI Technologies, you have the right to:
- Know when AI is being used in the delivery of your service.
- Opt out of AI-assisted service delivery where a human alternative is feasible.
- Request a human review of any AI-generated deliverable.
- Access information about how your data is processed by AI systems (per POPIA).
7. Policy Updates
This policy will be reviewed and updated at least annually, or whenever there is a material change in our use of AI technologies or a change in applicable law. Updates will be published on this page with the revised effective date.
